How Tax Masters takes you from "I need to file" to "your return is e-filed" — the standards, communication, and quality checks we apply to every single client.
Tax Masters operates with the same consistency for every client — first-time filer or fifteen-year returnee, simple W-2 return or multi-state self-employment situation. This page documents the steps we follow so you know exactly what to expect when you work with us, and so our Tax Partner agents know exactly how we deliver on the promise behind our name.
Every return is personally reviewed by Melanie Romero, owner of Tax Masters, before it leaves the office.
Situation-specific preparation — we tailor each return to the actual taxpayer, not to a template.
Within 48 business hours on any client question during the season — same day when we can.
Available all year for follow-up questions, IRS notices, audits, or tax planning.
No corner-cutting on documentation, due diligence, or signature requirements. Ever.
Every return we file is documented with the supporting proof needed to defend it if questioned. You're protected before, during, and after filing.
You complete the online intake form for the tax year you are filing. Before submitting, you review the Tax Documents Checklist so you know exactly what to gather. The intake captures identification, filing status, dependents, income sources, and the situation-specific items that drive return complexity.
Once your intake hits our queue, our Intake Compliance Team reviews it within 48 business hours. We confirm receipt, flag anything missing or unclear, and let you know if a consultation is needed before preparation can begin. You will hear from us — whether or not your intake is complete — so you are never left wondering.
For new clients, self-employed situations, multi-state filings, life changes (marriage, divorce, new dependent, home purchase), or anything that needs clarification, we schedule a 30-minute consultation. You can use our Calendly link to pick a time that works.
We send you a secure document upload link — not an email attachment. You upload your W-2s, 1099s, prior-year return, ID, and any deduction or credit documentation. The portal is encrypted in transit and at rest, and your documents are stored under our Written Information Security Plan.
Your assigned preparer drafts the return in our professional tax software. We work line by line, validate every credit and deduction against IRS due-diligence requirements, and document every position taken. If we need a clarification, we reach out to you directly — we never guess.
Every return is reviewed by Melanie Romero before it is finalized. She verifies math, due diligence, credit eligibility, deduction support, state compliance, and refund/payment routing. Returns that need rework go back to the preparer with notes — no return moves forward until it meets our standard.
We send you a draft of the return to review. You confirm name, SSN, dependents, employer details, refund routing, and any line items that are unfamiliar. We answer every question before you sign — even the small ones. Nothing gets e-filed until you have approved.
Once you approve the draft, you e-sign Form 8879 (the IRS e-file authorization). We transmit your return to the IRS and any state agencies through our authorized e-file system. You receive a confirmation that the return was accepted, usually within 24 to 48 hours.
If you are due a refund, we share a refund tracker so you can watch it process. If you owe, we provide the payment options and deadlines. You receive a complete PDF copy of your filed return for your records.
Your relationship with us does not end on April 15. If the IRS sends a letter, your situation changes, or you have a planning question in July or October, you reach out and we respond. Year-round support is part of what you pay for — not an upsell.

To deliver an accurate, on-time return, we ask that you partner with us on a few simple things:
Provide complete and accurate information through the intake form and secure document upload.
Respond to clarification requests promptly so we can meet filing deadlines without rushing.
Let us know about any income, dependent, or status change that affects your return.
Look over your draft return carefully before signing the e-file authorization.
Retain a copy of your filed return and supporting documents for at least seven (7) years.
Sign the e-file authorization (Form 8879) quickly so we can transmit your return without delays.
Pricing varies by return complexity. We provide a transparent quote after reviewing your intake — before any work begins on a paid return. Payment is due upon delivery of the completed return unless other arrangements have been made in writing. Our terms of engagement are provided in writing for each client and are also referenced in our Privacy Policy and Security Policy.
If something in this process is unclear, or if there is anything we can do better — we want to hear it. Reach Melanie directly:
